Are you passionate about providing excellent service while making a positive impact on the equine community? Our progressive and compassionate ambulatory equine veterinary practice is looking for a Client Care Coordinator to join our team. As the first point of contact for our clients, you'll play a key role in delivering exceptional service to horse owners. This position may be remote or hybrid, allowing you to work from the comfort of your own home, but it requires proficiency in using a variety of cloud-based tools and platforms to communicate and assist our clients effectively.

Key Responsibilities:

  • Serve as the primary contact for clients, addressing inquiries, scheduling appointments, and providing support for routine and emergency situations.

  • Communicate professionally and empathetically with clients via phone, email, and text to resolve issues or provide necessary information.

  • Coordinate with veterinarians and other team members via Slack, phone, and text to ensure smooth scheduling and seamless client experiences.

  • Manage and update client records in cloud-based medical software, ensuring accuracy and attention to detail.

  • Organize and maintain customer-related files on platforms like Dropbox and Google Drive.

  • Assist clients in troubleshooting and resolving technical issues related to digital health records, appointments, or billing questions.

  • Follow up with clients as needed to ensure satisfaction with services, and keep track of ongoing cases or treatment plans.

  • Stay current with technological tools used in the practice to effectively serve our clients and maintain a high level of service.

Qualifications:

  • Previous experience in customer service, preferably in a healthcare or veterinary setting.

  • Excellent written and verbal communication skills with the ability to interact professionally, compassionately, and with clarity.

  • Tech-savvy with experience using tools like Slack, Dropbox, Google Maps, Google Drive, and cloud-based software.

  • Ability to work independently and remotely with strong time management skills.

  • A genuine passion for animals and interest in the equine veterinary field. Experience with horses, in a personal or professional role, is important!

  • Familiarity with veterinary medical records or scheduling software (e.g. DaySmart, eVetPractice) is preferred but not required.

  • Strong attention to detail, multitasking ability, and the ability to maintain a positive attitude, empathy, and patience in a fast-paced environment.

  • A desire to continue learning and grow professionally in the veterinary field.
